Volunteer Field Guide: How to Run a TA in Checkpoint

Everything a volunteer needs to run a TA in Checkpoint

This is the web version of the one-page Volunteer Field Guide. It covers signing in, checking teams in and out, recording checkpoints, fixing mistakes, and getting help. Prefer paper? Download the PDF.

Heads up: Checkpoint needs a Wi-Fi or cellular connection to keep updates real-time and does not work offline. If your TA loses signal, use the paper sheet and tell the race director when you are back in range.

1. Get in

If you have a Checkpoint account

Sign in with email and password, Google, or Apple. Open the race from Races, then on its page tap My check-in assignments to accept your invite as Admin or Volunteer. Once accepted, tap Operate a TA on that race’s page.

If you have no account, just a code

On the sign-in screen, tap “Volunteering with a code instead?” and enter the code your race director emailed you (it looks like AB12CD34). No password needed. If you’re staffing more than one TA, pick which one you’re supporting first.

2. Run your TA

Check yourself in and out

The colored banner at the top is you, not the teams. Tap it to switch between checked in and not checked in at this TA.

Find and log teams

  • Search a bib or team name the moment they arrive. The keypad toggle switches between numbers and letters.
  • Tap a section to expand it: Checked in, Teams coming, Checked out, and DNS / DNF.
  • Tap any team to open its actions: Check In / Check Out, any custom steps your race director set up, Add Note, and Record CPs.
  • Short-course teams move through the same sections as any active team. They just carry a small “Short course” tag.
  • Serving more than one course at this TA? Use the course chips above the search box to filter the roster.
  • Tap TA info to see the rules of travel, notes, and checkpoints expected at this stop.

3. Checkpoints and fixing mistakes

Validating checkpoints (CPs) at a TA

  • Record CPs only appears on a team’s action sheet when your race director has configured checkpoints for that team’s course at this TA. Some TAs have none to check.
  • Tapping it opens a checklist of every checkpoint expected here. Tick off what the team actually has (control-card punches, photos, a word, whatever your race director is using), then Save.
  • Opening the same team again shows what you already confirmed, pre-checked, so you’re correcting the record, not double-logging it.
  • Nothing to tick? The sheet says plainly that the course has no checkpoints assigned at this TA.

Undoing an action

  • Open the team and scroll to History at this TA. Every check-in, check-out, note, and CP record is there, newest first.
  • Tap the undo icon next to an entry to remove it and recalculate the team’s status. You’ll be asked to confirm first, and once you do it’s gone for good.
  • You can undo anything you recorded. Race Admins can undo anyone’s entry, which helps when another volunteer logged something by mistake and isn’t around to fix it.
  • A note also has a pencil icon, for editing the text instead of deleting the whole entry.

4. Get help fast

Race Messages

One shared feed for everyone staffing the race. Tap the speech-bubble icon at the top. Messages from the race director carry an “RD” tag, and a red dot means something new.

Contact race director

The phone icon shows names and roles, with tap to call or email.

Race documents

The document icon opens course overview PDFs, if your race director uploaded one.

Open TA in Maps

The pin icon appears only when your race director has set a location for this TA.

Lost? Refresh (top right) always pulls the latest roster. Still stuck? Message the group or tap Contact race director.
